End-of-Campaign Checklist for Creators

Close a creator campaign by confirming live posts, final files, reporting, payment, returns, usage dates, ad permissions, disclosures, and records.

By Editorial standards

End a creator campaign by reconciling every deliverable, live post, final file, approval, metric, invoice, product return, usage date, exclusivity period, and ad permission. Closeout is complete when both sides can identify what was delivered, what remains authorized, what is still owed, and which access or records should end.

Reconcile every deliverable and live post

Compare the signed scope and final brief with a complete deliverables table. For each public post, save the platform, account, URL, post ID, publication time, final caption, disclosure, and exact media file. For each brand-delivered asset, record the filename, version, upload, and written approval.

Check:

  • Required formats, cutdowns, Stories, captions, covers, and links
  • Correct offer, code, price, and expiration date
  • Required platform partnership settings
  • Minimum-live period and end date
  • Rejected or superseded files clearly marked
  • Brand receipt of the final handoff package

Use the creator handoff folder structure so the brand does not need to reconstruct final files from review emails.

Confirm disclosure and claims after publication

View the live post as an ordinary user. Make sure the platform has not truncated, covered, muted, or otherwise changed a critical disclosure or claim. Check that links and offers lead where expected.

FTC Disclosures 101 says material connections should be obvious and disclosures should be hard to miss. Other countries and platforms may have additional rules.

If you find a problem, notify the campaign owner, preserve the live state, and follow the correction process. A post-publication edit does not erase earlier dissemination, so keep the original and correction evidence.

The quarterly influencer compliance audit gives brands a broader program-level check after individual campaigns close.

Deliver reporting with definitions

Provide the metrics required by the agreement using the specified date window and source. Label screenshots or exports with platform, post ID, retrieval date, and whether results are organic, paid, affiliate, or combined.

Do not imply that the creator caused sales or brand lift unless the evidence supports that conclusion. Explain known attribution limits and do not mix platform definitions without labeling them.

A reporting package can include:

  • Reach or impressions
  • Views and relevant view definition
  • Watch time or retention where available
  • Engagements by type
  • Link clicks or affiliate transactions
  • Audience information the creator is authorized to share
  • Paid results supplied by the brand, clearly separated

Keep private audience data out of public folders and case studies unless permitted.

Close invoice and payment records

Confirm that the final invoice uses the correct legal entity, purchase order, currency, payment trigger, expenses, and usage line items. Save the submission receipt, due date, remittance advice, deposit, and any deduction reconciliation.

Do not treat a paid invoice as proof that rights are perpetual or that every deliverable was approved. Payment, approval, and licensing are related but separate records.

For U.S. tax records, the IRS says retention depends on the item and applicable period; review current IRS record guidance. Cross-border and local requirements differ.

End product, access, and permission obligations

Return loaned products with condition photos, manifest, tracking, and receipt. Remove brand access to creator files when the agreed transfer window ends. Revoke shared links that no longer serve a purpose.

For creator-identity advertising, confirm active campaigns have stopped and review content- and account-level permissions. Meta maintains current Partnership Ad permission guidance, and TikTok documents creator ad-authorization controls. Recheck the official steps because interfaces change.

Platform revocation and contractual rights are separate. Record both rather than assuming one toggle closes every use.

Calendar continuing rights and restrictions

List every date that survives posting:

  • Organic and paid usage end
  • Creator-identity ad authorization end
  • Exclusivity or blackout end
  • Minimum-live end
  • Reporting deadline
  • Product return date
  • Confidentiality or embargo milestone
  • Renewal notice date
  • Archive review and deletion date

Assign an owner and reminder. If a brand wants a renewal, document the new asset, media, territory, term, edits, parties, and fee rather than extending informally.

The brand-deal red flags guide helps identify unresolved access, rights, or payment issues before they become the starting point of the next campaign.

Send one closeout summary

Use a message that can be understood without the full thread:

All [count] deliverables are complete. The manifest identifies final approved files and live URLs. Reporting was delivered on [date], invoice [number] is due [date], the product return was received [date], paid usage ends [date], exclusivity ends [date], and creator-identity permissions were revoked [date]. Open item: [owner/action/date], or “none.”

Ask the brand to correct any discrepancy. Do not say “all done” while a usage renewal, unpaid expense, or active ad permission remains open.

Archive a useful campaign record

Keep the agreement, controlling brief, final approved assets, review decisions, live evidence, reporting, invoice and payment, rights dates, return proof, and access closeout according to a justified retention policy. Secure taxpayer information and personal data separately.

Use the first-try approval guide to identify the evidence behind the final content decision. Delete unnecessary duplicates and sensitive source material when no valid purpose or hold remains.

Brands and agencies can turn those decisions into a documented creator content retention and archive policy rather than leaving every campaign owner to choose a different folder lifetime.

A closed campaign has no unexplained state. Every asset, payment, permission, right, return, and record has an owner, date, and documented outcome.

This checklist is operational guidance. Continuing duties and remedies depend on the agreement, platform rules, applicable law, and the campaign's facts.
